To transcribe a webinar, send the recording to the Potok bot on Telegram with timestamps switched on. Files up to 2 GB work, so a long session fits. Then export to DOCX or PDF, and use the text for a follow-up email, a handout or a searchable training page.

Key facts
- DOCX suits the marketing team that edits the text, and PDF suits the handout that attendees download.
- Q and A segments often carry the best questions, so keep their timestamps for a separate FAQ.
- Chat comments and slides are not in the recording audio, so the transcript covers only what was said.
How to do it
- Download the recording. Get the file from your webinar platform. Choose the version with the best sound if you have more than one.
- Open the bot. Open @potok_now_bot in Telegram and start a chat with it.
- Switch on timestamps. They let you split the webinar into sections like intro, demo and Q and A.
- Send the recording. Attach the file. For a long session, up to 2 GB, use the Upload button of the bot's mini app.
- Export DOCX or PDF. Pick DOCX to edit, or PDF for a fixed handout. A short result also comes as text.
- Add structure. Insert headings at each timestamped section and bold the product or topic names, for easy scanning.
- Reuse the content. Pull three or four takeaways for the follow-up email and put questions from the Q and A on your help page.
What the result looks like

[24:15] Speaker 2: Can we reuse old posts, or should every post be new?
[24:22] Speaker 1: Reuse is fine if you update the examples and the links.

Common mistakes
| Mistake | What happens | Fix |
|---|---|---|
| Sending the screen-share recording with echo | Presenter and playback sound overlap, which lowers the quality of the words. | Ask the platform for the audio of the main track only. |
| Sharing the raw transcript with attendees | Typos and misheard names reflect on your company. | Read it once and fix names, product terms and figures. |
| Forgetting the slides | The text refers to this chart with no clue which one. | Add the slide number in brackets at those points. |
| Leaving out the Q and A | You lose the questions that matter most to buyers. | Give the Q and A its own heading and review it closely. |

Frequently asked questions
Should I choose DOCX or PDF?
DOCX is better while you edit and comment. PDF is better for the final handout, since it keeps its layout.
Can I transcribe a webinar that runs two hours?
Yes, within the 2 GB file limit. Most recordings of that length are well below it.
Does the transcript include the chat?
No. It covers the audio only. Copy useful chat messages from the platform if you want them in the handout.
How can I use the text after the event?
Write a recap email, publish a transcript page and build an FAQ from the questions asked in the session.
Can attendees search the text?
If you publish the text on a page or in a document, yes. A PDF with real text is searchable too.
