How-to guides

How to get a list of tasks and deadlines from a client call recording

Mark Vesyoly · founder of Potok · ~5 min

Potok transcribes Russian speech; this site has been translated into English for convenience.

Send the call recording to the Telegram bot @potok_now_bot as a voice message, a file or a link, and press Tasks and deadlines: the bot builds a numbered list of who, what, by when. The bot of the Potok service (potok.now) transcribes 60 minutes per month for free; it does not record the call itself.

The Tasks and deadlines button in the Telegram bot @potok_now_bot turns a transcript of a conversation into a numbered list: who, what and by when. It works with a finished recording; the bot does not record the call itself.

How to get a list of tasks and deadlines from a client call recording

A manager finished a conversation with a client, and the recording is already there as a file: it was made in the calling program. Then he opens the chat with the bot and sends this file; in private messages both an ordinary attachment and a document will do. Timecodes and speaker markup can be turned on. The markup puts the labels Speaker 1 and Speaker 2 in the text; the bot has no real names.

The transcript arrives in the chat: a short one as a message, a long one as a TXT or DOCX file, the format is chosen in the settings. Then the manager presses Tasks and deadlines. In reply the bot sends a numbered list of who, what, by when. If a general retelling of the conversation is needed, there is the Summary button next to it: it has the main points and the tasks by speaker. All transcripts stay in My recordings, and they can be opened again.

Repeat it yourself

  1. Record the conversation in the calling program and save the file. The bot does not join Zoom or Telemost by itself.
  2. Open the chat with @potok_now_bot in Telegram.
  3. Send the file, a voice message or a link to YouTube, VK Video, RuTube or a direct link to a file. For a large file use the bot's mini app: the button next to the input field in Telegram, then Upload.
  4. Wait for the transcript. If you want, turn on timecodes and speaker markup.
  5. Press Tasks and deadlines.
  6. Read the numbered list of who, what, by when and check it against the conversation itself.

The same principle works for transcribing a call with a client, and how to turn a conversation recording into text is explained on a separate page about call recording.

Who this way does not suit

The bot works only with Russian speech, and it cannot translate into another language. If you need to record the call yourself, the bot will not help: it waits for a finished file and does not join video meetings. Of the links, YouTube, VK Video, RuTube and a direct link to a file are accepted. The Potok app does not transcribe finished recordings, it is for dictation: one subscription covers the dictation app and the Telegram bot @potok_now_bot for recordings and voice messages. Potok is a cloud service, recognition runs on servers in Russia, and it does not work without the internet.

Frequently asked questions

Does the bot record the call itself?

No. The bot accepts a finished recording: a voice message, an audio or video file, a link to YouTube, VK Video, RuTube or a direct link to a file. It does not record the call itself and does not join Zoom or Telemost, so the recording is made in the calling program and sent as a file.

Does the bot have a free limit on transcripts?

Yes: 60 minutes per month free, the limit resets on the 1st. A subscription removes the limit both in the bot and in the dictation app. Prices and plans are on the site and not here.

Can I get tasks from a call in English?

The bot recognizes only Russian speech, and it has no translation into another language. This way does not suit a conversation in English.

Can a Zoom call be transcribed automatically?

Yes, several platforms have built-in meeting transcription: Zoom for cloud recordings, Microsoft Teams during the meeting, Google Meet on Google Workspace plans. The alternative is to record the sound and process it with a separate transcription service after the call. The Potok app does not do this kind of transcription, it is for live dictation; a call recording can be sent as a file to Potok's Telegram bot @potok_now_bot.

How is transcription different from voice input?

Voice input is real-time dictation into the active text field. Transcription turns an already finished audio or video recording (a lecture, a call, a podcast) into text after the fact, often with diarization (splitting by speaker).

What is the difference between voice input and transcription?

Voice input is real-time dictation: you speak and immediately get text in the active field. Transcription turns an already finished audio or video recording (for example, a meeting recording) into text after the fact. The Potok app handles the first task, live dictation; finished recordings in Russian are transcribed by its Telegram bot @potok_now_bot.
