How to make your own button in the transcription bot: a client letter from a recording

Mark Vesyoly · founder of Potok · ~4 min

Potok transcribes Russian speech; this site has been translated into English for convenience.

You create your own button in the transcription bot in the settings: the /settings command, then “My buttons”. You write the prompt for the text yourself, for example “Letter to the client”, and the button appears under the transcript. You can create up to 5 custom buttons. The bot is the Telegram bot @potok_now_bot of the Potok service (potok.now).

A manager recorded a call with a client, and now needs to write a letter based on it. So as not to type the same prompt every time, you create your own button in the transcription bot and press it under the finished text.

How to make your own button in the transcription bot

The scenario is: call recording, transcript, then the “Letter to the client” button.

  1. Send the bot @potok_now_bot the call recording: a voice message, audio, video or a link to YouTube, VK Video, RuTube. In private messages you can forward a voice message from any chat or send a file, including as a document.
  2. Open the settings with the /settings command, then “My buttons”.
  3. Write the prompt for the transcript text. For example, for the “Letter to the client” button the prompt is what you want to get from the call recording. You write the prompt yourself.
  4. Wait for the transcription. A short recording arrives as text in the chat, a long one as a file.
  5. Find your buttons under the transcript and press “Letter to the client”.

In total you can create up to 5 custom buttons: for example, “Letter to the client” and “Minutes”. How to get a short retelling from the same recording is in the article on a summary and tasks from an audio recording. The general order of work with a conversation recording is described in the material on turning a call recording into text.

If the button does not work as you expected

There is one path to custom buttons: “Settings” (the /settings command), then “My buttons”. The result of a button depends on the prompt the person sets.

When the bot and Potok will not fit

The bot recognizes only Russian speech, and there is no translation into another language. In the bot 60 minutes of recording per month are free. The Potok app is dictation: it cannot transcribe finished recordings, for those there is the bot. One subscription covers both the dictation app and the Telegram bot @potok_now_bot for recordings and voice messages. The app is for Windows, macOS and Linux; there are no apps for Android and iPhone. Potok is a cloud service: recognition runs on servers in Russia, and it does not work without the internet.

Frequently asked questions

How many custom buttons can I make in the bot?

Up to 5 custom buttons. Each has its own prompt for the text, which the person writes, for example “Letter to the client” or “Minutes”. They all appear under the transcript next to the bot's built-in buttons.

Will the “Letter to the client” button write a finished letter?

The button applies your prompt to the transcript text. The result depends on the prompt you set yourself.

What is the difference between voice input and transcription?

Voice input is real-time dictation: you speak and immediately get text in the active field. Transcription is turning an already finished audio or video recording (for example, a meeting recording) into text after the fact. The Potok app does the first job, live dictation; finished recordings in Russian are transcribed by its Telegram bot @potok_now_bot.

Can I transcribe meeting minutes through voice input?

With Potok you can dictate the minutes live, saying them during or right after the meeting. Transcribing an already recorded meeting audio file (a finished Zoom or Telemost recording) is a separate transcription task: you can send such a file to the Potok Telegram bot @potok_now_bot.

Can a Zoom call be transcribed automatically?

Yes, a number of platforms have built-in meeting transcription: in Zoom for cloud recordings, in Microsoft Teams during the meeting, in Google Meet on Google Workspace plans. The alternative is to record the sound and process it with a separate transcription service after the call. The Potok app does not do this kind of transcription, it is for live dictation; you can send a call recording as a file to the Potok Telegram bot @potok_now_bot.

How does transcription differ from voice input?

Voice input is real-time dictation into the active text field. Transcription is turning an already finished audio or video recording (a lecture, a call, a podcast) into text after the fact, often with diarization (splitting by speaker).

Transcribe a recording in Telegram

Voice messages, video notes, audio and video are transcribed by Potok's Telegram bot @potok_now_bot: forward it a voice message from any chat, or send a file or a YouTube, VK Video or RuTube link. A short recording comes back as text in the chat, a long one as a file; timestamps and speaker labels can be turned on. The buttons give a short summary, tasks and deadlines, an answer to a question about the recording and export to TXT, DOCX, PDF or SRT. Large files, up to 2 GB, are easier to upload in the bot's mini app, via the Upload button next to the input field. The bot recognizes Russian speech; 60 minutes per month are free.
