Transcribing a Google Meet meeting into text

Mark Vesyoly · founder of Potok · ~9 min

Potok transcribes Russian speech; this site has been translated into English for convenience.

A Google Meet meeting recording is transcribed into text through the Potok Telegram bot @potok_now_bot: send the file, and the bot returns the text. Meet has its own transcript too, but not in Russian. For heavy files the bot's mini app is suitable. 60 minutes of transcription per month are free; for dictating text on a computer there is the Potok app.

A meeting in Google Meet can be recorded, and the finished recording can be turned into text. Meet itself has a transcript, but it does not understand Russian, so for a Russian-language meeting you usually need a separate service.

Where to get a Google Meet meeting recording

  1. Recording is turned on by the organizer or co-organizer of the meeting; participants can do it only if the organizer has permission for recording.
  2. The finished recording is saved to the organizer's Google Drive, in the Google Meet folder; a link to it is added to the Google Calendar event.
  3. The function is available only on paid versions of Google Workspace (Business Standard, Business Plus, Enterprise and others), and also in Google One from 2 TB.
  4. If the recording is already on Drive, download the file from there: then it is used as an ordinary audio or video file.

Transcribing a Google Meet meeting into text through the bot

  1. Open the downloaded recording file in Telegram, find the bot @potok_now_bot and start it with the /start command if you have not opened it yet.
  2. Send the file as a document. If several people took part in the meeting, turn on speaker markup in the bot settings (/settings) in advance: the lines will be split by voice.
  3. Wait for the reply: a short meeting arrives as text right in the chat, a long one as a file; the format for long replies (TXT or DOCX) is chosen in advance.
  4. The Tasks and deadlines button under the reply collects who took on what, and Summary collects the main points of the meeting.
  5. A heavier file is more convenient to upload to the bot's mini app: sign-in by email or through Telegram, a limit of 2 GB per file.

Google Meet's own transcript

Google Meet has its own transcript, started from the meeting tools menu (the transcript item, then the option to start transcription). It is available on paid plans (Business Standard, Business Plus, Enterprise and others) and works in eight languages: English, French, German, Italian, Japanese, Korean, Portuguese and Spanish. Russian is not in this list, so such a transcript does not suit a meeting in Russian: you will need a separate service like the Potok bot. If you need not to transcribe someone else's meeting but to dictate text yourself right in Telegram, this is a different task, voice input in Telegram.

When not to trust the bot with a meeting recording

The built-in Google Meet transcript will not help with Russian speech: among its eight languages are English, French, German, Italian, Japanese, Korean, Portuguese and Spanish, and Russian is not there. The Potok bot does not do translation either: a meeting in another language cannot be entrusted to it, since it understands only Russian. While the call is going on there will be no text: the bot can process only an already saved, finished recording. It will not start without the internet either: it is a cloud one, and the transcript is computed on servers in Russia. Who exactly spoke will not be labeled in the text, only the labels Speaker 1, Speaker 2. Different transcription services are handy to compare in a separate review, the comparison of transcription services.

Frequently asked questions

Can a participant, and not the organizer, turn on meeting recording?

Only if the organizer gave permission for it: without the rights of an organizer or co-organizer you cannot turn on recording yourself.

What is the difference between voice input and transcription?

Voice input is real-time dictation: you speak and immediately get text in the active field. Transcription turns an already finished audio or video recording (for example, a meeting recording) into text after the fact. The Potok app handles the first task, live dictation; finished recordings in Russian are transcribed by its Telegram bot @potok_now_bot.

Can a Zoom call be transcribed automatically?

Yes, several platforms have built-in meeting transcription: Zoom for cloud recordings, Microsoft Teams during the meeting, Google Meet on Google Workspace plans. The alternative is to record the sound and process it with a separate transcription service after the call. The Potok app does not do this kind of transcription, it is for live dictation; a call recording can be sent as a file to Potok's Telegram bot @potok_now_bot.

How is transcription different from voice input?

Voice input is real-time dictation into the active text field. Transcription turns an already finished audio or video recording (a lecture, a call, a podcast) into text after the fact, often with diarization (splitting by speaker).

Can meeting minutes be transcribed through voice input?

With Potok you can dictate the minutes live, speaking them during or right after the meeting. Transcribing an already recorded audio file of a meeting (a finished Zoom or Telemost recording) is a separate transcription task: such a file can be sent to Potok's Telegram bot @potok_now_bot.

Where can I download Potok for free?

Only from the official site: potok.now/download. Installation is free, then a 14-day trial with full access applies, with no card attached.

Try it on your own recording

Transcribe a recording in Telegram

Voice messages, video notes, audio and video are transcribed by Potok's Telegram bot @potok_now_bot: forward it a voice message from any chat, or send a file or a YouTube, VK Video or RuTube link. A short recording comes back as text in the chat, a long one as a file; timestamps and speaker labels can be turned on. The buttons give a short summary, tasks and deadlines, an answer to a question about the recording and export to TXT, DOCX, PDF or SRT. Large files, up to 2 GB, are easier to upload in the bot's mini app, via the Upload button next to the input field. The bot recognizes Russian speech; 60 minutes per month are free.
